How to Automate Your Workday with Google Workspace Studio: A Real-World Example
Google Workspace Studio (formerly Google Flows) is the agent you’ve been looking for.

If you’re a Google Workspace customer, this is the automation system for AI that will make your life easier and more productive. It ties into the rest of the Google Workspace ecosystem, so if you’re not a Workspace customer, it’s unhelpful.
But it’s so, so easy to create great AI agents.
Here’s an example. I love Peter Shankman’s Source of Sources. It’s a great way to get a sense of what journalists are asking about. But it takes time to read and consume, and there are a ton of queries that are just not a good fit.
The LAST thing I want to do is pitch a journalist something irrelevant. That’s stupid. In the past, I created a Google Gem (similar to a GPT) that I can paste an email into and have it evaluate for relevance. It uses the 135‑page Trust Insights sales playbook (which contains our expertise, services, and ICPs) as its core, and it reads through an issue of Source of Sources and evaluates whether we should pitch any of them.
But… I still have to copy and paste. And while that’s trivial, I still have to do it.
And let’s be honest, I forget to do it almost every day.
This morning, in Workspace Studio, I set up a 3‑step flow:
-
Read emails from Peter’s Source of Sources.
-
Pass the email body to my existing Gem.
-
Pass the Gem’s response back to a Google Chat.
Now I get notified ONLY if there’s something worth responding to.
I have to do zero work. The gem, calibrated on our Sales Playbook, provides all the knowledge and horsepower to do the work – and because it’s been around for a while, it’s been battle‑tested (if infrequently).
For all those little things that you have to remember to do, Workspace Studio is an incredible value‑add. And because it’s aware of things like Gems, all the hard work you’ve put into making gems can be repurposed for autonomous use now.
